Open Repository Theseus gives you online access to theses and publications from Finnish Universities of Applied Sciences.

Upload your thesis to Theseus (as a PDF file) after it has been completed and your instructor has approved it. When you upload your thesis to Theseus you give the permission to online publishing.

You can bring a bound copy to the library instead of uploading your thesis to Theseus if:

• Thesis has been written in cooperation with other persons or as a commission for an organization who do not allow the thesis to be published online.
• Thesis is in a form that doesn’t allow it to be published in electronic form.
• You don’t want to publish your thesis in electronic form.

Please note before uploading

• Upload your thesis to Theseus after it is ready and approved.
• If your thesis has been written as a commission for an organization, please make sure that all parties agree to the publication of the work in an Open Access online environment.
• Remove all personal contact information like addresses, email address and phone numbers.
• In case of several authors, each of you should give permission for the publishing, but only one of the authors uploads the thesis to Theseus.
• Convert your thesis into a single PDF file (max. size 150 MB). Name the file Surname_Forename, for
• example Student_Steve.pdf.
• Make sure all the details are ok:
  • Dates are the same on the cover and on the abstract pages.
  • All the appendixes mentioned in the index are included or there is a note of a sort if they are excluded from the public version.
  • Page numbering and appendix numbers are working.

Uploading thesis

1. Go to the Theseus submission page Upload your thesis.
2. Select the rights you would like to grant to the readers of your thesis. Read more about s through the links found from right column of this guide.
3. Add your email and press Continue.
4. After this you will get an URN-link (permanent address to your thesis) and a link which you should follow to continue saving your thesis. Both links will also be sent to your email.
5. Continue by clicking the link below the text: Submit your finalized thesis to Theseus. The authentication form opens. Choose: Helsinki Metropolia University of Applied Sciences and press the Select button. Metropolia Single Sign-on Service login form opens. Login with your Metropolia user account and press the Login button. The input form opens.
6. Accept the service agreement at the bottom of the form and press the Continue. The submit form opens.
7. Now you can start filling the metadata fields. When you are done press Continue.
   NB! Remove syllabification from abstract(s) in the abstract field. Please note that Word and PDF file formatting will mess up your abstract field if you copy-paste it straight from to document to Theseus. You can remove formatting by pasting the abstract(s) to eg. Notepad before adding. Also, if you have an abstract in some other language than english, please add it to the input form as well.
8. The last phase is to attach the PDF file.
9. After you have sent your thesis to Theseus, you will receive a confirmation e-mail. Library staff will check the metadata of your thesis before the final publishing procedure. If you have any questions about this process, please ask the library staff for assistance.

Thesis into a PDF file

How to convert your thesis into a PDF file

The thesis should consist of a single PDF file. It is easiest to convert your thesis into a PDF file, if it is one complete text file including the whole content, report etc.

You can convert a Word document into a PDF file in many ways. In Word probably the easiest way is to click File Export Create PDF/XPS. Y ou can do the converting in Word i f you have Word 2007 (or newer edition).

You can find several free PDF converters on the web.

Name the file using the format of Surname_Forename, for example Student_Steve.pdf. The characters allowed are 1-9, a-z, A-Z, _, – and space.

Combining PDF files using PDF-Tools

With the PDF-Tools -program it is possible to combine several PDF files into one. Here are instructions on how to do it:

1. First convert every single file to a PDF file as described above.
2. Open PDF-Tools -program: Go to Start menu and write to the search window below: PDF-Tools (or simply PDF) and choose PDF-Tools.
3. When the program opens choose: Split/Merge and click Start.
4. Add each separate PDF file to the desktop (choose Add). Click Next.
5. Select Method to Group pages in Target file choosing the default settings and click Next.
6. At Preview and Edit the Documents List -page you may edit the target document by moving, copying, removing or re-ordering pages using dragdrop. Accept the target document by clicking Next
7. At Setup PDF -page you may do some other modifications, but do not use PDF Security. When finished click Next.
8. At save Setup -page specify the destination folder, where you can save your complete PDF-file and give the destination file name. Name the file Surname_Forename, for example Student_Steve.pdf. The characters allowed are 1-9, a-z, A-Z, _, – and space.
9. Complete the task by clicking Finish. The program will combine the files and then opens the thesis with Adobe Reader.
